How to Build a Staff Roster That Matches Your Busiest Times
Overstaffing costs money. Understaffing costs customers. Here is how to build a roster based on your actual booking data.
Rostering is a guessing game for most salon owners — until they have data. Once you have several weeks of booking history, patterns emerge that make it possible to staff your salon almost perfectly.
Read Your Busiest Periods First
In Trimsy, go to Reports → Booking Volume and look at the heatmap by day and hour. You will almost certainly see:
- Saturday 10am–2pm is your peak period
- Mondays are quieter than you thought
- Thursday evenings are underserved
Build your roster around those peaks, not around habit or convenience.
Calculate Staff-to-Client Ratio
Look at your average service duration and your busiest hour. If your peak hour sees 12 clients and each service takes 45 minutes, you need at least 9 active hands to keep wait times under 15 minutes. Work backwards from the experience you want to deliver.
Use Split Shifts
Not every stylist needs to be in for a full 8-hour day. A split roster with some staff starting at 8am and others starting at 11am, with a few doing late finishes, often provides better coverage than everyone working the same hours.
Build In Flexibility
Schedule at least one staff member per day without appointments blocked — someone who can take walk-ins or absorb overflow when a service runs long. This buffer prevents the queue backup that turns a manageable Saturday into a stressful one.
Review and Adjust Monthly
Use your Trimsy reports to compare actual queue wait times against your targets. If wait times spike on Thursday nights, add a staff member. If Monday mornings are consistently quiet with three stylists on, try two.
Rostering is not a one-time exercise — it is a monthly calibration.
