How to Create and Send Price Quotes
Build professional price quotes for customers and convert them into jobs or invoices with a few clicks.
What this is
Quotes let you send customers a detailed price estimate before they commit to a job. Once approved, you can convert a quote directly into a job or invoice—saving time and reducing back-and-forth emails.
When to use quotes
- A customer asks for a price estimate before booking
- You need to propose custom work with specific costs
- You want a record of what was quoted before invoicing
- You're handling larger or one-off jobs that need approval first
Create a new quote
- Go to Sidebar ▸ Quotes
- Select New Quote (or similar button to create a fresh quote)
- Choose or search for the customer name. If they don't exist yet, you can add them now
- Enter a quote title or job description (e.g. "Kitchen renovation – tiling work")
- Add line items:
- Describe the service or product
- Enter the quantity and rate (or total price)
- Trimsy will calculate the line total automatically
- Review the subtotal, tax (if applicable), and final amount
- Add any notes for the customer (e.g. payment terms, timeframe, conditions)
- Save the quote
Send the quote to your customer
- Open the quote you just created
- Select Send or Share
- Choose how to send it:
- Email (Trimsy will send a link directly to the customer's email)
- SMS (get a link for them to view on their phone)
- Copy link (paste into a message or your own email)
- Add a personal message if you'd like
- Hit Send
Your customer will receive a professional quote they can view, download, or print.
Convert a quote to a job
Once the customer approves the quote, turn it into a scheduled job:
- Open the approved quote
- Select Convert to Job (or similar option)
- Choose the service type (if not already set)
- Pick a date and time for the job
- Assign it to a team member if needed
- Confirm and save
The job now appears in your Jobs list and calendar. You can track progress, mark it complete, and invoice from there.
Convert a quote to an invoice
If you'd rather invoice the customer directly without creating a job first:
- Open the quote
- Select Convert to Invoice (or similar option)
- Set the invoice date and due date
- Review the items and amount
- Send the invoice to the customer
They'll receive an invoice they can pay, and you'll track payment in Trimsy.
Edit or delete a quote
- Before sending: Open the quote, make changes, and save
- After sending: You can still edit it (the customer will see the updated version if you resend the link)
- Delete: If the quote is no longer needed, select Delete. This can't be undone
Track quote status
In your Quotes list, you'll see each quote's status:
- Draft – not yet sent
- Sent – delivered to the customer
- Viewed – customer has opened it
- Converted – turned into a job or invoice
This helps you follow up on quotes that haven't been viewed or approved yet.
Tips for higher acceptance
- Keep quotes clear and itemised so customers understand what they're paying for
- Include your ABN or business details for credibility
- Set a quote expiry date so customers feel a sense of urgency
- Follow up within a few days if they haven't viewed it
- Be ready to explain any line item if asked
