How to create and send quotes to customers
Build professional price quotes in Trimsy and convert them into jobs or invoices once approved.
What this is
Quotes let you send customers a itemised price estimate before they commit to a booking. Once a customer approves, you can convert the quote directly into a job or invoice—saving time and reducing back-and-forth.
When to use quotes
Use quotes when:
- A customer needs a custom price for a one-off project
- You're pricing work that isn't a standard service on your booking page
- You want to confirm costs before the customer books
- You need to send a formal estimate
Create a new quote
- Go to Sidebar ▸ Quotes
- Click New Quote (or similar create button)
- Select or search for the customer you're quoting
- If they're not in your system yet, add them now
- Add a quote date and expiry date (so the customer knows how long the price is valid)
- Choose line items:
- Add your services or products with description, quantity, and price
- You can create one-off items here or pull from your catalogue
- Review the subtotal, and apply any discount or tax if needed
- Add any notes (payment terms, conditions, next steps)
- Click Save & Send to email it to the customer, or Save to send later
Convert a quote to a job
Once your customer approves:
- Open the quote from Sidebar ▸ Quotes
- Click Convert to Job
- Set the job date and any other details (staff, location, notes)
- Review and confirm
- The job is created and ready to schedule
Convert a quote to an invoice
If you'd rather invoice the customer directly:
- Open the quote
- Click Convert to Invoice
- Set invoice date and payment terms
- Confirm
- The invoice is sent (or ready to send, depending on your settings)
Edit or resend a quote
- Click into any quote to view details
- Edit line items, prices, or dates as needed
- Resend the quote if the customer didn't receive it or if you've updated it
- Once converted, the original quote is locked
Track quote status
Your Quotes list shows each quote's status: Draft, Sent, Approved, or Converted. This helps you follow up on quotes awaiting customer approval.
Tips
- Be clear on expiry: Set realistic dates so customers act quickly
- Include payment terms: Mention upfront what happens after approval (e.g. 50% deposit to secure the date)
- Use your catalogue: Pull standard services into quotes for consistency
- Follow up: If a quote expires, create a new one and resend—it keeps the conversation moving
