How to view and manage bookings on your calendar

Use Trimsy's calendar to see all your bookings across staff and locations in day or week view.

What this is

The calendar is your central hub for viewing and managing all bookings across your business. Whether you're working with multiple staff members or locations, you can see everything at a glance and make changes on the fly.

Access your calendar

  1. From the sidebar, click Calendar.
  2. You'll see a calendar view with your bookings displayed as entries.

Switch between day and week view

The calendar offers two main viewing options:

  • Day view: Shows a single day with hourly time slots. Use this when you need detailed visibility of one day's schedule.
  • Week view: Shows seven consecutive days side by side. Use this to spot gaps, plan ahead, and see patterns across the week.

Look for view toggle options at the top of the calendar and select your preferred view.

Filter by staff or location

If you have multiple team members or service locations:

  1. Look for filter options (usually at the top or side of the calendar).
  2. Select the staff member or location you want to view.
  3. The calendar will update to show only bookings for that person or place.
  4. You can also view all staff or locations together if you prefer.

Inspect a booking

  1. Click on any booking entry in the calendar.
  2. A popup or details panel will appear showing:
    • Customer name
    • Service type
    • Time and duration
    • Any notes or special requests
  3. Close this panel by clicking elsewhere or using a close button.

Make changes to a booking

From a booking's details:

  1. Look for an Edit or Manage option.
  2. You can typically:
    • Adjust the time or duration by dragging the booking to a new slot
    • Reassign the booking to a different staff member
    • Update service details or customer notes
    • Mark the booking as complete or cancelled
  3. Save your changes.

Spot available time slots

Use the calendar to identify gaps in your schedule:

  • Empty spaces on the calendar indicate available time for new bookings.
  • Compare across your team to find slots where multiple staff are free (useful for group bookings or training).
  • Use week view to scan for consistently quiet periods that might indicate a need for promotion.

Tips for smooth scheduling

  • Check regularly: Review your calendar daily or weekly to stay on top of upcoming bookings.
  • Use filters: Focus on one staff member at a time if you have a large team—it's easier to spot conflicts.
  • Plan ahead: The calendar's week view is perfect for spotting bottlenecks and planning your team's workload.
  • Mobile friendly: You can access the calendar from your phone to check bookings on the go.

What happens next

Once you're comfortable with the calendar, you might want to:

  • Set up automated reminders to customers
  • Adjust your availability settings to control which times accept bookings
  • Export your calendar data for reporting
