How to view and manage bookings on your calendar
Use Trimsy's calendar to see all your bookings across staff and locations in day or week view.
What this is
Your calendar is the hub for viewing and managing all bookings across your business—no matter how many staff members or locations you have. You can switch between day and week views to see your schedule at a glance and make changes on the fly.
How to access your calendar
- From your Trimsy dashboard, select Calendar in the sidebar.
- Your calendar will load, showing today's bookings by default.
Choosing your calendar view
Day view
Shows a single day in detail, with time slots for each service. This is best when you want to focus on a specific day or see detailed information about individual bookings.
Week view
Displays an entire week at a glance, making it easier to spot gaps and busy periods across multiple days. This helps you understand your overall schedule and plan ahead.
Toggle between these views using the buttons at the top of your calendar.
Navigating between dates
Use the arrow buttons to move forward and backward through days or weeks. You can also click on a specific date if available to jump directly to that day.
Viewing bookings across staff and locations
If you have multiple team members or service locations:
- Look for filter or view options near the top of your calendar.
- Select which staff member(s) or location(s) you want to display.
- The calendar will update to show only the relevant bookings.
This is useful when you need to focus on one person's schedule or see which location is busiest.
Making changes to bookings
View booking details
- Click on any booking in the calendar.
- A panel or popup will show the customer name, service, time, and any notes.
Reschedule a booking
- Click on the booking you want to move.
- Look for an edit or reschedule option.
- Select a new date and time from the available slots.
- Confirm the change. Trimsy will notify the customer of the new time (if you have notifications enabled).
Cancel a booking
- Click on the booking.
- Select the cancel option.
- Choose whether to notify the customer.
- Confirm the cancellation.
Colour coding and status
Bookings may appear in different colours to show their status—for example, confirmed bookings might appear one colour, whilst pending or cancelled bookings appear differently. Check the legend or key on your calendar to understand what each colour means.
Tips for managing your calendar
- Check regularly: Review your calendar daily to catch any last-minute changes or no-shows.
- Use week view for planning: Spot busy periods and plan staff breaks or maintenance windows.
- Filter by staff: If a particular team member is overbooked, you can reassign jobs to balance the workload.
- Watch for gaps: Open slots in your calendar are opportunities to fill with new bookings or offer promotions.
