How to Create and Send Price Quotes

Build professional price quotes in Trimsy and convert them into jobs or invoices to streamline your quoting process.

What this is

Quotes let you send customers a formal price estimate before they commit to booking a job. Once a customer accepts, you can convert the quote into a job or invoice in Trimsy — no need to manually re-enter details.

When to use it

Use quotes when:

  • A customer asks for a price estimate before booking
  • The job scope isn't standard (custom work, large projects)
  • You need to propose multiple pricing options
  • You want a professional document to build trust

How to create a quote

  1. Go to Sidebar ▸ Quotes
  2. Click New Quote (or similar create button)
  3. Select or add the customer
    • Type their name to find an existing customer, or create a new one
    • Trimsy will pull their contact details
  4. Add line items
    • Describe the work or service (e.g. "Garden design consultation")
    • Enter the quantity and price per unit
    • Add as many line items as needed
  5. Set the quote date and expiry
    • Choose when the quote is valid until (e.g. 14 days)
    • This creates urgency for acceptance
  6. Add optional notes
    • Include terms, payment details, or conditions in the notes section
  7. Review and send
    • Check the total and all details
    • Send directly to the customer's email or download as PDF to send manually

After sending

Once sent, you'll see the quote status (pending, accepted, declined, or expired) in your Quotes list. You can:

  • Resend if the customer didn't receive it
  • Edit (before they accept) if prices or scope changes
  • Convert to job once the customer accepts — this creates a job in your Jobs list with all quote details pre-filled
  • Convert to invoice if you want to bill without creating a job first

Tips for better conversion

  • Be clear and detailed: Describe each line item so there are no surprises
  • Set realistic expiry dates: 7–14 days works for most trades
  • Include your branding: Quotes reflect your business, so make them professional
  • Follow up: If a quote expires without response, send a friendly reminder
  • Use round numbers where possible: Customers feel more confident with straightforward pricing

Troubleshooting

Quote not sending?

  • Check the customer's email address is correct
  • Verify your email settings in Account settings

Can't convert to a job?

  • Make sure the quote has been accepted (status shows "Accepted")
  • Check that all required fields are filled before conversion

Need to change a quote after sending?

  • If not yet accepted, edit the quote and resend
  • If accepted, create a new quote with updated details and mark the old one as superseded
