How to view and manage bookings on your calendar
Use Trimsy's calendar to see all your bookings across staff and locations at a glance, and make quick changes.
What this is
Trimsy's calendar gives you a visual overview of every booking across your team and locations. You can spot gaps, reschedule appointments, and manage your schedule in one place.
How to access your calendar
- Open Trimsy and look for Calendar in the sidebar.
- Click on Calendar to load your schedule.
Viewing your bookings
Once you're in the calendar:
- Switch between views: Use the controls at the top to toggle between Day, Week, or Month view. Week view is often easiest for seeing who's busy and when.
- See all staff and locations: The calendar shows every team member and location you've set up. You'll see their names listed on the left (or in a staff panel), with their schedules displayed across your chosen time period.
- Check booking details: Click on any booking to see the customer name, service, time, and any notes attached to that appointment.
Manage bookings from the calendar
Reschedule an appointment
- Find the booking you want to move.
- Click and drag it to a new time slot (same staff member) or drop it onto another team member's column to reassign it.
- Confirm the change when prompted.
View customer information
- Click on a booking to open its details panel.
- You'll see the customer's name, phone number, and any special requests or notes.
- From here, you can usually contact the customer or edit the booking if needed.
Spot and fill gaps
- Look for empty time slots in your team's schedule.
- If a customer calls to book, you can immediately see who's available and suggest a time.
- This helps you maximise your daily revenue and keep your team busy.
Navigate between days and weeks
- Use the arrows at the top of the calendar to move forward or backward in time.
- Click on a specific date to jump straight to that day (if available in your current view).
Filter by staff or location
If you have multiple team members or sites:
- Look for filter options near the top of the calendar (these might be a list, dropdown, or toggles).
- Deselect staff or locations you don't want to see, so you can focus on a smaller group.
- Re-enable them when you're ready to see the full picture again.
Tips for staying organised
- Check the calendar first thing each morning to see what your day looks like.
- Use the calendar before confirming a new booking so you know exactly what slots are free.
- Colour coding: Bookings may be colour-coded by service type or staff member—this makes it quick to scan who's doing what.
- Mobile friendly: You can usually access your calendar on your phone too, so you can check availability even when you're away from the desk.
