View and manage bookings on your calendar

Use Trimsy's calendar to see all your bookings across staff and locations in day or week view.

What this is

The calendar is your central hub for viewing and managing all bookings across your business. Whether you run multiple locations, have a team of staff, or both, you can see everything at a glance and quickly adjust schedules as needed.

How to access your calendar

  1. From the sidebar, click Calendar.
  2. You'll land on today's view by default.

Switching between day and week views

Depending on how much detail you need, switch your calendar view:

  1. Look for the view toggle at the top of the calendar (usually labelled Day or Week).
  2. Click your preferred view:
    • Day view: See one day in detail with all time slots and staff members.
    • Week view: See the whole week at once, ideal for spotting gaps and managing multiple staff.

Navigating dates

  1. Use the left and right arrows to move between days or weeks.
  2. Click the date picker (usually shown as the current date at the top) to jump to a specific date quickly.

Viewing bookings by staff or location

If you have multiple staff members or locations:

  1. Look for a filter or dropdown menu near the top of the calendar.
  2. Select the staff member or location you want to view.
  3. The calendar will update to show only that person's or location's bookings.
  4. To see everyone at once, select "All" or leave the filter blank.

Making changes to a booking

  1. Click on any booking tile in the calendar.
  2. A booking details popup or page will appear.
  3. You can:
    • Reschedule: Change the date or time (drag-and-drop may be available in some views).
    • View customer details: See who the booking is for and their contact information.
    • Change assigned staff: If needed, reassign to a different team member.
    • Update status: Mark it as confirmed, completed, or cancelled.
  4. Save your changes.

Adding a new booking from the calendar

  1. Click on an empty time slot on the calendar.
  2. A new booking form will open.
  3. Enter the customer details, service type, and duration.
  4. Confirm the staff member and location are correct.
  5. Save the booking.

Tips for staying organised

  • Check daily: Review your calendar each morning to spot any gaps or last-minute changes.
  • Use colours: Bookings may be colour-coded by service type or staff member—learn what each means so you can scan quickly.
  • Plan ahead: Use week view on Mondays to get an overview and spot busy periods early.
  • Mobile access: If your Trimsy plan includes mobile access, you can check your calendar on the go from your phone.

Troubleshooting

I can't see a booking I know exists

  • Check your filter settings—you may be viewing only one staff member or location.
  • Ensure you're looking at the correct date range.

A booking won't move when I drag it

  • Try clicking the booking instead and editing the time from the details popup.
  • Drag-and-drop may not be available in all views.
