How to view and manage bookings on your calendar

Use the calendar view to see all your bookings across staff and locations at a glance, then manage them efficiently.

What this is

The calendar view lets you see all your bookings scheduled across your team and locations in one place. You can switch between day and week views, check staff availability, and make quick changes to bookings.

When to use it

Use the calendar to:

  • Get an overview of your business's bookings for the day, week or period ahead
  • Spot gaps in your schedule and find available slots
  • Reassign bookings between staff members
  • Reschedule or cancel bookings quickly
  • Check which locations are busiest

How to access your calendar

  1. Open Trimsy and click Calendar in the sidebar
  2. You'll see your bookings displayed in calendar format

Switch between day and week views

  1. At the top of the calendar, look for the view toggle
  2. Select Day to focus on a single day's bookings in detail
  3. Select Week to see the full week at a glance
  4. Use the navigation arrows to move between dates

Filter by staff or location

  1. Look for filter options at the top of the calendar (these may appear as dropdowns or toggles)
  2. Select a specific staff member to see only their bookings
  3. Select a location to view bookings at just that venue
  4. You can combine filters — for example, show one staff member at one location
  5. Click Clear filters or deselect options to go back to the full view

View booking details

  1. Click on any booking block in the calendar
  2. A popup or detail panel will show:
    • Customer name and contact details
    • Service booked and duration
    • Staff member assigned
    • Any notes or special requests
  3. Close the popup by clicking outside it or an X button

Reschedule a booking

  1. Click on the booking you want to move
  2. Look for a Reschedule or Edit option
  3. Select a new time slot on the calendar (either drag the booking or pick a new date/time from a form)
  4. Confirm the change
  5. Trimsy will update the booking and notify your customer (if notifications are enabled)

Reassign a booking to another staff member

  1. Click on the booking
  2. Look for a Reassign or staff member field
  3. Select a different team member from the dropdown
  4. Check that the new staff member is available at that time
  5. Save the change

Cancel a booking

  1. Click on the booking
  2. Look for a Cancel option
  3. Confirm the cancellation (Trimsy may ask if you want to notify the customer)
  4. The booking will be removed from the calendar

Tips for managing your calendar efficiently

  • Check availability before rescheduling: Use the week view to spot free slots quickly
  • Use filters for busy periods: If you have many staff or locations, filter by one at a time to avoid clutter
  • Monitor cancellations: Freed-up slots appear on the calendar immediately, so you can fill them with walk-ins or waitlisted customers
  • Plan ahead: Switch to week or month view (if available) to plan staff schedules and spot quiet periods

Your calendar is live — any changes made here sync across Trimsy and are reflected in customer confirmations and your team's schedules.
