Choosing Cleaning Software: What to Compare Before You Buy

Recurring jobs, rosters, quotes, photos and pricing: what actually matters when you compare cleaning software, and what is just a demo feature.

Cleaning Software: What to Actually Look For When Comparing Tools

If you run a cleaning business in Australia, you've probably noticed that most "booking software" reviews talk about nail salons and massage therapists. Not many address the specific problem of managing 4–6 cleaners across 15–20 jobs a week, with different checklists for residential versus commercial cleans, and the constant pressure to quote end-of-lease work profitably.

Cleaning software exists. But knowing what to evaluate matters more than which brand you pick.

The Three Core Problems Cleaning Software Solves

1. Rostering cleaners across multiple sites without the group chat chaos

You've got Sarah on Tuesday–Thursday, Marcus full-time, and Casey doing Saturdays. You've got 18 jobs across the eastern suburbs. How do you assign cleaners without texting seven different people?

Proper cleaning software lets you:

  • See all jobs on a map or calendar
  • Assign cleaners with one click, considering their skill level (some cleaners handle end-of-lease, others don't)
  • Let cleaners see their daily route and timing in their own app
  • Adjust on the fly when someone calls in sick

Without this, you lose 3–4 hours a week to messaging, phone calls, and mistakes. A 5-person team doing an average $180 clean means that's roughly $300–$400 in lost or delayed revenue per week.

2. Quoting and job history for repeat work

Residential cleans are usually the same price. End-of-lease and commercial cleans aren't. You need to quote based on:

  • Square meterage
  • Number of bedrooms/bathrooms
  • Special requests (carpet steam, window wash, oven clean)
  • Whether it's a first clean or a rebook

Cleaning software should let you build quote templates, log what was actually done on each job, and pull that history when the same client books again. If Mrs. Chen called every 3 weeks for 18 months, her next quote shouldn't take 10 minutes.

3. Proof-of-work for liability and client sign-off

This is the one most salon-focused software skips entirely. When you're charging $500 to clean out a house before a real estate inspection, the client needs to see that the work was done. And you need evidence in case there's a dispute.

Good cleaning software lets your team:

  • Take timestamped photos during the job
  • Upload them straight from the app
  • Get the client to sign off (digital tick box or signature)
  • Store all of it against the job so you can pull it later

If there's ever a "you didn't clean the tiles" call three weeks after payment, you've got photos and a signed checklist. That's worth more than the $25–50 a month you'll pay for the software.

What to Ask When Comparing Options

Cost and commitment

Most cleaning software in Australia costs $20–60 per month, flat fee. A few charge per booking or per cleaner. Ask:

  • Is it a monthly subscription or annual?
  • Does it include SMS reminders to clients, or do you pay extra?
  • Are there per-user fees if you add a cleaner to the system?
  • What happens if you cancel? (Some lock you in for a year.)

For a small cleaning business (3–7 staff), flat $25–30/month is reasonable. Anything over $60 is worth negotiating or walking away from.

Cleaner app and rostering

  • Can each cleaner see only their own jobs, or does the system let them see other jobs?
  • Do they get turn-by-turn directions, or just an address?
  • Can you set a default job duration (e.g. "residential clean = 2 hours") so the system estimates arrival times?
  • If a job overruns, can they log extra time, or does it stay locked at the original booking?

Checklists and photo proof

  • Can you customise a checklist for residential vs. commercial vs. end-of-lease?
  • Can the checklist be ticked off on the cleaner's phone during the job?
  • Can photos be taken and uploaded from the app, or do you have to email them later?
  • Is there a client sign-off option (digital approval on the spot)?

If the software doesn't have a checklist or photo system, you're still doing those on paper or email. That defeats half the purpose.

Integration with payment and invoicing

  • Does it integrate with your bank or accounting software (Xero, MYOB)?
  • Can you invoice from the system, or do you export and invoice manually?
  • Can clients pay direct from an invoice link, or just at booking?

If you're still exporting data and manually creating invoices, cleaning software is only solving half the job.

The Honest Trade-Offs

Specialist cleaning software vs. general booking platforms:

General booking platforms (like many overseas tools) are cheaper and flexible, but they're built for salons. The cleaner app often assumes a fixed location (the salon). They don't usually include photo proof-of-work or customisable checklists. You'll end up building workarounds in Google Sheets.

Specialist cleaning software costs a bit more but includes the checklist, photo, and signature features baked in. If you do more than 20 cleans a week, the specialist tool will save you time and liability headaches. If you're doing 5 jobs a week from your kitchen table, a general booking tool will probably do.

Local vs. overseas:

Australian cleaning software (like Trimsy) usually understands GST, allows you to quote and invoice in AUD, and isn't hedged against currency swings. It's worth the search. Overseas tools are sometimes cheaper but often come with integration headaches and support lag.

The Real Question

Before you sign up for anything, ask: What are you actually going to use this for?

If it's just replacing a spreadsheet or a notebook, any $25/month tool will work. If you're trying to manage 6+ cleaners across 20+ weekly jobs, reduce no-shows, and hold proof-of-work for every clean, you need the photo checklist and client sign-off features.

That's what separates a nice-to-have from a tool that actually pays for itself.

Getting Started

Most cleaning software offers a 7–14 day free trial. Use it:

  • Set up your recurring jobs (weekly, fortnightly, monthly clients)
  • Assign your cleaners and see if the roster feels natural
  • Take a few photos and test the checklist on a real job
  • Try invoicing a completed job

If it takes more than 20 minutes to roster a week's worth of jobs, move on. If you can't find the checklist or photo feature in the first 5 minutes, it's probably not there.

Good cleaning software should feel invisible. You log in, assign jobs, and get back to running the business. Everything else is noise.
