What AI actually does in a service business — and the four jobs it does well

Trimsy ships four AI features. Here is what each one costs per use, which are worth switching on, and the honest answer about the two that will not help most businesses at all.

Most software companies spent the last two years adding "AI-powered" to their homepage. We added four features. This is what they do, what each one costs you per use, and — the part nobody writes — which ones are not worth your time.

The short version

AI is on the Growth plan. It is pay-per-use: roughly 1.2¢ for a text draft and 6¢ for reading an image. There is no monthly AI allowance to burn through and no separate AI subscription. If you never click the button, it never costs you anything.

And the most useful automation in Trimsy is not AI at all. More on that at the bottom, because it matters more than this whole section.

The four features

1. Smart email reply drafter — about 1.2¢ a draft

Open a customer email, click "Draft AI reply", and you get a two-paragraph response in the compose box. It reads the original message and your recent history with that customer, so it knows who they are and what they last asked about.

It never sends. The draft lands in the compose box and you edit it, sign it, and send it through the normal flow. Every AI-assisted reply is audit-logged, so you can go back and see which ones were drafted rather than typed.

This is the one most businesses will actually use. If you answer twenty similar enquiries a week — "do you do puppies", "how long does a full groom take", "can you do Saturday" — it is the difference between twenty typed replies and twenty edits.

2. Job-stage emails — about 1.2¢ an update

Move a job to a new stage and instead of a generic template, you get an update written for that specific job. You choose which stages get the AI version and which stay on your template, per status.

If credits run out it quietly falls back to your static template, so the customer always gets their update. That fallback is deliberate: a progress email that silently fails is worse than a plain one.

Worth saying this only helps if you use Jobs. If your work is appointment-shaped — a dog comes in, gets groomed, goes home — you are living in the booking calendar and this will not touch your day.

3. Document type recognizer — about 6¢ a file

Customers upload a file and it gets tagged the moment it lands: passport, payslip, utility bill, agreement, certificate. Eighteen types out of the box, each with a confidence score so you can see how sure the model was, and it files into the right folder instead of sitting in a pile.

For most grooming businesses this is a near-miss rather than a win. The one real use is vaccination certificates — if you collect them and currently open each one to work out what it is and when it expires, tagging plus expiry reminders is genuinely less work. Otherwise this feature was built for businesses drowning in paperwork, and you are not one.

4. Passport OCR — free for the common case

Upload a passport photo and the machine-readable zone is parsed on our own server. Free, instant, unlimited, and it works for any standard passport. Only damaged or glared scans fall back to the paid vision path.

Honestly: unless you are a migration agent or doing identity checks, this one is not for you. It is on the list because it exists, not because you should care.

So two of four, for most people

That is the real answer. If you run a grooming business, a mobile trade, or a studio, the AI features worth switching on are the email drafter and — if you use Jobs — the stage updates. The other two were built for document-heavy professional work.

We would rather tell you that than sell you a plan on four features you will use two of.

The part that actually saves you the most time

Here is the uncomfortable thing about AI in small business software: the automation that gives you your evenings back is mostly boring, and it has been around for years.

Appointment reminders. Three days out and again on the day. No-shows are the single most expensive thing that happens in an appointment business and a reminder is the cheapest fix for it.

Waitlist auto-notify. Someone wants Saturday, Saturday is full, they join the waitlist. When a cancellation lands, they are told automatically. The gap fills without you phoning down a list.

Recurring jobs. Work that repeats on a schedule gets created on that schedule instead of being remembered.

Workflows. When something happens, something else happens — an email, an SMS, an action. You set the rule once.

Review requests. After a good visit, the ask goes out on its own.

None of that is AI. All of it is on both plans, including Essential at A$24.99. If you are choosing where to spend your attention, start here and treat the AI as a bonus on top.

What we will not do

A few lines we have drawn deliberately, because "AI-powered" too often means "we let a model loose on your customers":

  • Nothing sends itself. The email drafter writes; you send. Job-stage updates are the one automated send, and they are opt-in per stage and fall back to your own template.
  • No AI pricing, no AI scheduling. We are not letting a model decide what to charge your customer or move bookings around your day.
  • No monthly AI fee. Pay for the calls you make. Zero calls, zero cost.
  • It is logged. You can see which replies were AI-assisted. So can your team.

Should you turn it on?

If you are on Growth and you answer a lot of email, yes — the drafter pays for itself the first week at a bit over a cent a go.

If you are on Essential, you have free passport MRZ reading and all the automation above, and that is genuinely most of the value. Move up for AI when email volume is the thing eating your evenings, not before.

And if someone tells you AI will transform your grooming business this year, ask them which four things it does and what each one costs. That question sorts the tools from the press releases quickly.

Per-call prices are the published AUD rates at the cheapest credit pack tier and may change; current figures are always on our AI features page and pricing.
