Mobile Massage Therapists: Booking, Travel Time, and Client Records

Mobile work is bookings + driving + paperwork rolled into one. Here is how the right system removes the admin chaos so you can focus on the work.

Mobile massage therapists run a different operation to clinic-based ones. The product is the same; the logistics aren't. Here's what works.

The core challenges

  1. Travel time eats the day. A 60-minute session in Glen Iris followed by one in Hawthorn isn't 60 minutes — it's 60 minutes plus 25 minutes of driving plus parking plus setup.
  2. Intake forms at the door waste time. Five minutes of paperwork before each session times five sessions = 25 minutes of unbillable time.
  3. Repeat clients without records become re-discovery work. "Did Sarah prefer firmer pressure? Did she have that shoulder thing?" — without records, every session is a fresh consultation.
  4. Cash payments + tax records get sloppy. Invoicing is often left until end-of-month and incomplete.

What working software solves

  • Travel buffers per booking: the system automatically blocks 15–30 minutes between sessions in different suburbs. Online customers can't book in conflict.
  • Pre-arrival intake forms: emailed at booking, completed before you arrive. You walk in informed and ready.
  • Per-client treatment notes: pinned to the client record. Last session's pressure, focus areas, contraindications — all visible before you arrive.
  • Mobile card processing: a Square Terminal in the kit. Tap-to-pay, instant receipt.
  • Auto-rebooking nudges: regulars get an SMS at week 5 suggesting a week-6 booking. Most rebook from the SMS.

Pricing patterns

Mobile sessions typically charge a 15–30% premium over clinic-based. Some structure this as a "travel surcharge" line item on the invoice; others fold it into a higher base price. Customer-facing transparency favours the line item.

For multi-suburb pricing, distance-based surcharges work well: $0 within 5km, $15 within 15km, $30 beyond. Set once in your service config, the booking page shows the surcharge automatically.

HICAPS and rebates

Remedial therapists registered with major associations (AAMT, ANTA) can offer on-the-spot HICAPS rebates if their card terminal supports it. Trimsy receipts include the practitioner registration number and qualifying provider details — clients can submit to insurers in seconds.

Insurance and bookings

Mobile work has a higher liability exposure. Two things matter:

  • Public liability + professional indemnity insurance (industry-standard)
  • Pre-arrival waivers for new clients

The waiver is a one-time intake form on the first booking. Trimsy supports service-linked intake forms — the waiver is sent at booking time, completed on the client's phone, signed digitally.

When mobile-only software wins

If you're 100% mobile and need GPS tracking, route optimisation across multiple therapists, and a dispatcher view, a generalist platform isn't enough. Look at field-service software.

For solo or 2–3 person mobile practices, generalist platforms with travel-buffer support cover 95% of needs at a fraction of the cost.
