Leads — overview
Capture enquiries that aren't bookings yet — phone calls, walk-ins, web forms — and convert them to customers.
Leads is for enquiries that haven't become bookings yet. A walk-in asking about a service, a phone caller wanting a quote, a contact-form submission. You capture name + interest, follow up, and convert to a customer + booking when they're ready.
Find it under Sales → Leads when the module is enabled (Settings → General → Modules).
Why leads vs customers vs bookings?
| Lead | Customer | Booking | |
|---|---|---|---|
| Has shown intent? | Yes | Yes | Yes |
| Has paid you? | Maybe one day | Probably | Now |
| Lives in your calendar? | No | No | Yes |
| Has account credentials? | No | Yes | n/a |
Leads keep enquiry follow-up out of your customer list (which would otherwise fill up with people who never came back). Once a lead converts, the customer record is created automatically — no double data entry.
Lead sources
A lead's source tells you how it arrived. Defaults: Phone, Walk-in, Website, Referral, Social, Other. Configure under Settings → Leads → Sources if you want custom ones (e.g. "Trade show", "Existing client referral").
The source feeds the Leads → Funnel report so you can see where your enquiries actually come from.
Anatomy of a lead
- Name + contact details (email or phone — at least one)
- Source
- Interest (free text — "fringe trim + colour", "wedding hair + makeup")
- Owner — the staff member following up
- Status (configurable — see the next guide)
- Notes — internal back-and-forth
- Linked tags (e.g. "VIP", "Price-sensitive")
Capturing a lead
Three ways:
- Manual — Sales → Leads → New Lead. Fill in the form. Good for phone-call enquiries.
- Public form — your website has a
/contactform that drops an enquiry straight into Leads with source =websiteor whatever you've configured. - From a missed-call list — if you use a call-tracking integration, missed calls auto-create a lead under the caller's number.
What happens after capture
The lead lands in New status. Default behaviour:
- Owner gets notified in the bell
- The lead is auto-assigned to the staff member configured under Settings → Leads → Default Assignee (or stays unassigned)
- Source + creation timestamp are logged for funnel reports
You then move it through your pipeline — Contacted, Quoted, Booked, Lost. Conversion to customer is one click.
