Customer profile — Notes tab
Store two types of notes per customer: general client notes visible to all staff, and stylist-specific service notes attached to individual services.
The Notes tab has two sub-sections that serve different purposes: Client Notes for general information about the customer, and Stylist Notes for service-specific observations that the performing staff member records after each visit.
Client Notes
Client notes are free-form text notes that any staff member with access can read and add to. Use client notes for:
- Allergy warnings or medical considerations (e.g. "Sensitive scalp — avoid ammonium-based colour")
- Preferences (e.g. "Prefers tea with two sugars", "Always runs 10 minutes late")
- Important relationship context (e.g. "Referred by Jane Smith", "First-time client — nervous about cut")
- Communication notes (e.g. "Contacted us on Instagram before signing up")
To add a note, type in the text box and click Add Note. Each note is timestamped and shows which staff member created it.
You can also tag notes with labels (e.g. Allergy, Preference, VIP, Follow Up) to make them easier to filter and scan.
Stylist Notes
Stylist notes are attached to a specific service. For example, a colourist might record the exact formula used on a client's hair so the next appointment can reproduce the same result.
Select the service from the dropdown, then write the note. Stylist notes are sorted by service so when a staff member opens the customer's profile before their colour appointment, they immediately see the relevant formula history.
Unlike client notes, stylist notes are tied to a service — not a date — and are updated (not appended) each time. This means each service always shows the most recent note.
