How to Review and Approve Customer ID Verification Documents
Verify customer identity documents submitted through your portal to ensure compliance and build trust.
What this is
ID verification lets you review identity documents that customers submit through your Trimsy portal. This is useful if your service requires proof of identity—for example, if you're a personal trainer needing to verify membership, a beauty therapist checking age, or a tradesperson confirming client details before starting a job.
When to use it
Use ID verification when:
- Your business requires proof of customer identity for compliance or safety
- You want to confirm customer details before confirming a booking or starting a job
- You need to keep a record of verified customers for your records
How to review and approve documents
- Go to Sidebar ▸ ID Verification
- You'll see a list of customers who have submitted ID documents, along with the date submitted and current status
- Click on a customer's name or submission to open their document for review
- Review the identity document they've uploaded (typically a driver's licence, passport, or similar)
- Check that:
- The name matches their Trimsy account details
- The document is clear and readable
- The document hasn't expired (if applicable to your requirements)
- Any other details you need to verify are present and correct
- Once you've reviewed the document, choose to Approve or Decline the submission
- Approve: The customer's identity is verified. You can now proceed with their booking or job with confidence.
- Decline: If the document is unclear, expired, or details don't match, decline the submission. The customer will receive a notification and can resubmit a clearer document.
- Add a note if needed (for example, "Verified against driver's licence, expires 2026")
- Submit your decision
Tips for smooth ID verification
- Set expectations early: Let customers know during booking that ID verification is required. This prevents delays later.
- Be clear about what you need: If you only accept certain types of ID, mention this when you ask the customer to submit.
- Respond promptly: Review submissions within 24 hours so customers aren't left waiting.
- Keep records: Trimsy automatically stores verification records, so you have an audit trail if needed.
- Respect privacy: Only request ID verification when genuinely necessary for your service. Don't store copies beyond what Trimsy keeps for compliance.
What happens after approval
Once a customer's ID is approved:
- Their verification status updates in their customer profile
- You can proceed with their booking or job with confidence
- You can reference their verified status in future interactions
- If your business rules require it, you might unlock additional services or pricing for verified customers
If a customer disputes a declined submission
If a customer resubmits after a decline:
- Review the new document in the same way
- Check if the issues from the first submission have been resolved
- Approve or decline accordingly
- Consider sending a brief message explaining what you need if there's a second decline
ID verification is a one-time process per customer, so once approved, you won't need to verify them again unless they update their details or your requirements change.
