How to view and manage bookings on your calendar

Use Trimsy's calendar to see all your bookings across staff and locations at a glance, and make quick changes.

What this is

The calendar view lets you see all your bookings in one place—organised by day, week, staff member, and location. You can spot availability, reschedule appointments, and manage your business's schedule efficiently.

How to access your calendar

  1. From the sidebar, click Calendar.
  2. You'll see your bookings displayed in a calendar format.

Viewing bookings by date

  1. Use the navigation arrows to move between weeks or months.
  2. Each booking appears as a block on your calendar, colour-coded by service or staff member (depending on your view settings).
  3. Click on any booking to see full details: customer name, service, duration, and location.

Switching between day and week view

  1. Look for view toggle options at the top of the calendar.
  2. Select Day to focus on a single day's schedule.
  3. Select Week to see seven days at once.
  4. The week view is useful for spotting gaps and planning ahead across multiple days.

Filtering by staff or location

  1. Look for filter buttons or dropdown menus above the calendar.
  2. Select a specific staff member to see only their bookings.
  3. Select a location to view bookings for that site only.
  4. You can filter by both staff and location together for a more detailed view.

Making quick changes

Rescheduling a booking:

  1. Click the booking block on the calendar.
  2. Select Reschedule or Edit.
  3. Drag and drop the booking to a new time slot, or manually choose a new date and time.
  4. Confirm the change. The customer will receive a notification (if automated notifications are enabled).

Marking a booking as no-show:

  1. Click the booking.
  2. Select No-show or Didn't arrive from the options.
  3. This helps you track attendance and manage your records.

Cancelling a booking:

  1. Click the booking.
  2. Select Cancel.
  3. Choose whether to notify the customer.
  4. Confirm the cancellation.

Colour coding and legend

Bookings may be colour-coded by service type or staff member. Hover over the colour legend (usually at the top or side of the calendar) to see what each colour represents. This makes it easy to spot patterns—for example, which services are busiest or which staff member has the most availability.

Viewing capacity and availability

  1. Empty time slots on the calendar show where you have availability.
  2. If a staff member or location is fully booked, those time slots will appear filled or greyed out.
  3. Use this to plan ahead and identify when you might need extra staff or can take on more customers.

Tips for efficient scheduling

  • Check your calendar at the start of each day to see what's coming up.
  • Use the week view to identify quiet periods and promote special offers.
  • Filter by location if you run multiple sites, so you can manage each independently.
  • Reschedule overlaps or conflicts immediately to avoid no-shows.

Your calendar syncs in real-time with bookings made through your online booking link, so it's always up to date.
