Getting started

Set up admin access and manage team roles

Invite team members as admins or managers and control what permissions each role has in Trimsy.

What this is

Admin access and roles let you invite team members to manage Trimsy on your behalf, and decide exactly what each person can see and do—from bookings and payments to customer data and settings.

When to use it

Use this feature when you want to:

  • Give staff permission to manage bookings and customers
  • Let a manager oversee jobs or payroll without accessing business settings
  • Restrict sensitive areas (like payments or team management) to trusted admins only
  • Scale your team's access as your business grows

How to set up admin access and roles

Step 1: Go to the admin access settings

Go to Manage > Team > Admin Access.

Step 2: Review available roles

Trimsy typically offers roles with different permission levels—for example:

  • Owner: Full access to all features and settings
  • Admin: Can manage bookings, customers, jobs, and team (but may not access billing)
  • Manager: Limited to specific areas like jobs or scheduling
  • Staff: Basic access, often for viewing their own bookings or tasks

Review which permissions suit each team member's responsibilities.

Step 3: Invite a team member

Click the button to invite a new admin or manager (usually labelled "Invite" or "Add Team Member"). Enter their email address and select their role from the dropdown.

Step 4: Set role-specific permissions

Depending on the role, you may see options to toggle specific permissions:

  • Bookings: Create, edit, or cancel appointments
  • Customers: View, edit, or export customer details
  • Jobs: Assign, complete, or track jobs
  • Payments: View or process payments
  • Reports: Access business insights and analytics
  • Team & Settings: Manage other staff or change account settings

Tick or untick permissions based on what that person needs to do their job.

Step 5: Send the invitation

Click Invite or Save. Trimsy will send an email to the team member with a link to create their account or log in.

Step 6: Monitor and update roles

Once invited, your team member appears in the Admin Access list. You can:

  • Edit their role or permissions at any time
  • Deactivate or remove their access if needed
  • View when they last logged in (if available)

Tips for managing admin access

  • Start restrictive: Give people only the permissions they need. You can always add more later.
  • Use managers for supervision: Assign a manager role to someone overseeing day-to-day operations without exposing billing or business settings.
  • Keep owner access secure: Only share the owner login with yourself or a trusted co-owner.
  • Review regularly: Check who has access every few months, especially if team members leave or change roles.
  • Communicate changes: Let your team know what they can and can't do in their role to avoid confusion.

Need help?

If a team member can't log in or their permissions aren't working as expected, double-check their role and permissions in Manage > Team > Admin Access, then resend the invitation if needed.
