Using the Calendar to View and Manage Bookings

View all your bookings across staff and locations in one place. Manage schedules by day or week to stay organised.

What this is

The Calendar lets you see all your bookings in a day or week view, organised by staff member and location. Use it to check availability, manage scheduling, and keep on top of your business at a glance.

How to access the Calendar

  1. Open Trimsy and look at the sidebar menu on the left
  2. Click on Calendar
  3. You'll see your bookings displayed in calendar format

Switching between Day and Week views

The Calendar lets you zoom in or out depending on what you need:

  1. Look for the view toggle buttons at the top of the calendar
  2. Select Day to see a detailed breakdown of one day's bookings
  3. Select Week to see the full week at a glance
  4. Use the arrow buttons to navigate to the previous or next period

Viewing bookings by staff member

  1. In the Calendar view, you'll see rows for each staff member
  2. Scroll down to view all your team members
  3. Each staff member's row shows their bookings for the selected period
  4. Colour coding helps you identify different services or customers at a glance

Viewing bookings by location

If you operate from multiple locations:

  1. Look for a location filter or selector near the top of the calendar
  2. Choose the location you want to view
  3. The calendar will update to show bookings for that location only
  4. To see all locations, select "All Locations" or equivalent option

Managing bookings from the Calendar

You can make quick changes without leaving the calendar view:

  1. Click on any booking in the calendar
  2. A booking details panel will appear
  3. From here, you can:
    • View customer details
    • See the service and duration
    • Check the price or notes
    • Edit the booking time or details (if needed)
    • Mark the booking as complete or cancel it

Checking staff availability

Use the Calendar to find free time slots:

  1. Switch to Week view for a better overview
  2. Look for gaps in each staff member's schedule
  3. Empty spaces show when they're available for new bookings
  4. Consider travel time between appointments when assessing availability

Creating a new booking from the Calendar

  1. Click on an empty time slot in the calendar (under the staff member and time you want)
  2. A new booking form will open
  3. Fill in the customer details, service type, and duration
  4. Confirm the booking

Using the Calendar for team planning

The Calendar is handy for managing your team's workload:

  1. Check the Week view to see who's busiest
  2. Identify quiet periods when you might need to promote your business
  3. Plan staff days off during quieter times
  4. Balance bookings fairly across your team

Tips for getting the most from the Calendar

  • Colour coding: Learn what each colour represents (usually by service type) to spot patterns quickly
  • Search: If your calendar has a search function, use it to find specific customers or bookings
  • Sync: Make sure all staff are entering bookings correctly so the Calendar stays accurate
  • Regular checks: Review the Calendar at the start of each week to plan ahead

Keeping your Calendar up-to-date ensures you never double-book, your customers get reliable service, and your team knows what's happening each day.
