Jobs — overview
A pipeline-style work-tracker for anything that lasts longer than a single booking and has stages.
Jobs is for work that doesn't fit the appointment-and-done model. Anything with stages — quoted → approved → scheduled → in progress → finished — and anything that needs to track activity over days or weeks.
Examples by industry:
- Trades: a renovation runs through quote → deposit → materials ordered → install → snag list → final payment.
- Beauty / aesthetics: a microblading touch-up package spans the initial appointment, the 6-week review, the 12-week check-in.
- Legal / consulting: a matter from intake → research → draft → client review → filing.
- Repairs: a phone repair from drop-off → diagnosis → quote → approval → fix → ready for pickup.
Jobs are visible in the side nav under Jobs when the module is enabled (Settings → General → Modules).
Jobs vs Bookings — when to use which
| Bookings | Jobs | |
|---|---|---|
| Length | One sitting (15 min – few hours) | Days to months |
| Stages | None — happens all at once | Multiple, sequenced |
| Customer involvement | Shows up at the time | Receives updates, replies, approves things |
| Follow-up | Optional reminder | Built-in activity feed + customer portal view |
| Money | Single invoice at checkout | Often staged: deposit → milestone → balance |
You can attach bookings to a job (drop-in for a touch-up appointment counts as both). And you can convert a quote to a job + booking pair in one click.
Anatomy of a job
Each job has:
- Title — what you call this piece of work in your head ("Smith bathroom reno").
- Pipeline — which stage flow it runs through.
- Status — the current stage in that pipeline.
- Owner — the staff member primarily responsible.
- Customer + linked customer profile.
- Optional: due date, custom form values per pipeline stage, attachments, photos, internal notes, customer-visible replies.
- Activity feed — every status change, reply, file upload, form save, etc. logged with timestamp + actor.
What customers see
If the Jobs customer-portal toggle is on (Settings → Customer Portal), every customer can see the jobs you've assigned to them in /user/jobs. They see the title, current status, due date, and any messages or files you've shared as customer-visible. They can reply, upload documents you've requested, and fill in form fields you've opened up to them.
Internal notes, internal attachments, and any status flagged as "internal" are hidden from the customer view automatically.
